Spotlight Search tips every Mac user should know

The Spotlight search functionality on macOS provides much more than basic file searching—it now incorporates advanced tools for efficiency, including new shortcuts, robust filtering options, and direct information management all from your keyboard.

Clipboard History Integration Arrives in Spotlight

With the debut of macOS 26 Tahoe, Apple added the ability for Spotlight to maintain a chronological clipboard history. Users are now able to recall previous copies, whether those are snippets of text, images, links, and beyond. To enable this function, which is off by default, simply go to the Apple menu, choose System Settings > Spotlight, and turn on Results from Clipboard. You can also adjust how long Spotlight saves your clipboard content, selecting from 30 minutes, 8 hours, or 7 days.

Once enabled, just hit Command-Space to bring up Spotlight, then press Command-4 to see a timeline of your clipboard contents—letting you conveniently revisit anything you’ve copied.

Enhanced Searching: Conversions, Calculations, and Filtered Results

Besides helping you launch apps or find files, Spotlight now features a versatile conversion engine. Type a query such as “USD 100 to INR” for an instant currency exchange rate—no need to open your browser. This applies to a wide range of global currencies, except for cryptocurrency. Unit conversions are just as straightforward, with inputs like “100lbs to kg” or “3L to oz” producing immediate answers.

Spotlight doubles as an efficient calculator—just enter your mathematical expression and the answer will appear instantly, saving you from opening a separate tool.

You can also constrain searches by file type: start with a forward slash and the file extension (e.g., “/pdf”) to restrict results to PDFs, or use common formats such as jpeg, png, tiff. Spotlight auto-suggests matching filters to make selection easy. To find files within a specific directory, begin your query with a folder name, like “/downloads”.

Quick Task Completion in Spotlight

Spotlight facilitates more than just searches—it lets you complete everyday actions, like sending messages. Type “Send Message,” select a contact, type your note, and hit Return—all right from Spotlight, so you never need to switch to the messaging app and risk distraction.

Need a timer? Enter “Start Timer,” pick the suggestion, and input the time. Spotlight sets it for you and alerts you when time’s up.

If you want to reveal a file’s location, highlight the file in your search results and press Command-Enter. This opens the containing folder in Finder so you can quickly access related files.

Spotlight Handles Translations, Settings, and Shortcuts

Translating text is now possible in Spotlight. Configure your desired languages in System Settings > Language & Region, download them as needed, enable On-Device Mode for offline use, and click Done. Afterwards, input “Translate” in Spotlight and select Translate Text; simply paste or write your text to get an instant translation.

Accessing macOS settings has been streamlined—enter the setting name, like “Reduce Motion” or “Bluetooth,” directly in Spotlight. You’ll see shortcut buttons that open the corresponding System Settings sections or, in some cases, toggle settings on the spot.

To speed up repetitive Spotlight actions such as making notes or scheduling calendar events, assign your own shortcuts. By pressing Command-3 within Spotlight, you can browse available actions. Click “Add quick keys” beside any function to create your shortcut, so “Send Message” could become “sm,” for example.

Customized Privacy and Search Result Filtering

Spotlight’s privacy controls let you tailor what shows up in your search results. Inside System Settings > Spotlight, under “Results from Apps,” you’re free to toggle which applications are indexed by Spotlight. To hide specific folders from Spotlight, head to “Results from System” and use the i icon next to “Files” to specify which locations should be excluded from your searches.
